1. Who we are

Pin Pal Pro is a route-operations software service operated by Grant Claridge, trading as Pin Pal Pro. For personal information we determine how to use, we act as the data controller. Where a business customer uses Pin Pal Pro to manage its workforce, routes, drops or delivery information, that business may be the controller for information it enters and Pin Pal Pro may process that information on its behalf.

2. Information we collect

Depending on how you use the service, we may process:

  • account information such as name, email address and authentication details;
  • organisation, depot, role and invitation information;
  • route, drop, delivery-note, GPS pin, correction and operational submission data;
  • noticeboard, timesheet and other information users choose to enter;
  • subscription, plan and billing-status information;
  • technical, security and diagnostic information needed to operate and protect the service.

Payment-card details are processed by our payment provider and Merchant of Record, Paddle. Pin Pal Pro does not need to store your full card number.

3. How we use information

We use personal information to:

  • create and secure accounts and workspaces;
  • provide route, depot, driver and pin-management features;
  • enforce organisation, depot and role-based access controls;
  • send essential account, invitation, security and service communications;
  • administer subscriptions and respond to support requests;
  • prevent abuse, investigate incidents and maintain service reliability;
  • meet legal, accounting and regulatory obligations.

4. Lawful bases

Where UK GDPR or similar law applies, we rely on the lawful basis appropriate to the activity. This may include performance of a contract, legitimate interests in operating and securing the service, compliance with legal obligations, and consent where consent is specifically required.

5. Service providers and disclosures

We use trusted providers for hosting, database infrastructure, email delivery, monitoring and payment processing. They receive only the information reasonably needed to provide their services and are subject to their own contractual and legal obligations. Paddle acts as Merchant of Record for paid purchases and may process buyer information under its own privacy terms.

We may also disclose information where required by law, to protect users or the service, or as part of a genuine business reorganisation subject to appropriate safeguards.

6. International transfers

Some service providers may process information outside the United Kingdom. Where required, we use appropriate contractual or legal safeguards for international transfers.

7. Retention

We keep personal information only for as long as reasonably necessary for the purposes described here, including account operation, security, dispute resolution and legal or accounting requirements. Business customers may also control retention of operational data held in their workspace.

8. Security

We use technical and organisational safeguards designed to protect information, including authenticated access, role and depot restrictions, database access controls and security logging. No internet service can guarantee absolute security.

9. Your privacy rights

Depending on your location and the circumstances, you may have rights to access, correct, delete, restrict or object to processing of your personal information, or to receive a portable copy. You may also have the right to complain to the UK Information Commissioner's Office or another applicable supervisory authority.

If your data was supplied by your employer or another organisation using Pin Pal Pro, privacy requests about that workspace should normally be directed to that organisation first. For Pin Pal Pro account or privacy queries, use the support contact available in the service or the contact details provided with your purchase.

10. Cookies and local storage

Pin Pal Pro may use cookies or browser storage that are necessary for authentication, security, preferences and core application functionality. If optional analytics or marketing technologies are introduced, any consent required by law will be requested before those technologies are used.

11. Children

Pin Pal Pro is a business and professional route-operations service and is not intended for children.

12. Changes to this policy

We may update this policy when the service, our providers or legal requirements change. The date at the top of this page shows the latest revision.
